Fireworks

No change. Booked for Saturday 1st November. Full amount has now been paid.

Field Booking

No issues

Sports and Social Club

KF has passed a quote for plastic glasses to Social Club chair who is now dealing with this.

An extension to provide an outside bar will be provided and two gazebos and lighting will be provided                                                                                     

News of donation awaited from SSC                                                                          

KF to confirm that Social Club has the dealt with the TENS application                 

Volunteers

We think we now have sufficient volunteers to arrange and run the event

Publicity

Banners from last year will be placed around the field on the Sunday before  

AC has spoken with Editor of News and Views and the poster will be repeated in the next edition with enhanced prominence.

JB will repeat Facebook posts   

SF, SB,JB  and KF will coordinate the printing of posters. Suggested 12 each of A3 sized plain and laminated.

AC will deal with posting these as soon as received.                                   

The vectored poster is still awaited from the ladies who designed it        

Once vectored poster is received AC will order 20 Correx signs @£11.82 each plus VAT and a £30 set up charge.  

KF has liaised with a parishioner  regarding publicity in Grantham Journal and Newark Advertiser. Adverts to be placed near the event.    

SB will enquire about publicity on local radio stations with emphasis on Scouts helping    SB

Local schools have agreed to distribute fliers to their pupils. These will need to be printed and distributed to the schools shortly. 

Sponsorship

ST handed over £250 cash to AC received from Waggon & Horses (£100), Caythorpe Care Home (£100) and Spar shop  (£50). This was subsequently paid by BACS to the CFPC bank account. He also reported a sponsorship pledge of £100 from MJ Arnold and subsequently £50 from Pato Carpentry.. SF reported a pledge of £50 from PFI.

SF to chase Tulley motorsports and Ward Farms                                                 

AC to chase Red Lion, Ancaster butchers and Wriggly Tin                                     

Parking

Waggon Car park – they have now advertised a Karaoke night so this may not be available

Catering

SF and KF to investigate Natasha’s Law information and display this at point of sale 

SF and KF investigating sale of mulled wine and kinder punch (possibly by volunteers). If this will be served then there will be a need for the purchase of 2 x hot flasks which it was agreed could be purchased at a cost of approximately £30 each 

If this is to take place then a separate gazebo with light and power will be required.

It was agreed that as the Sports and Social club have no objection, the scouts will sell sweets and soft drinks. These will be purchased by KF from Bookers or similar.                                                                                                       

It was confirmed that the volunteers will have briefing on Health and Safety and Martyn’s Law at 4pm in the pavilion by AC followed by food  being served to them by SF and KF SF, KF

Stalls and Attractions

SB confirmed access to candy floss machine, which will be staffed by scouts along with the hot drinks.                                                                                   

Following discussion SB stated he had a 240v extension lead for the candy floss machine with a RCD breaker which he will provide. 

Sparklers

JB was not present but subsequently confirmed he will deal with purchasing sparklers from Tesco or similar. He was reminded of the need for profitability  AC will source carrots for handles and bring other safety equipment       AC Sound System

NM has revisited getting the Case display unit on the field and feels this should be possible. In the event that it is not we will borrow the Playing Field system    

Equipment

AC has purchased battery operated tripod flood light for the entrance nearest the church but will need to purchase an additional transformer and two lengths of festoon lighting and bulbs.                                                      

Bonfire

Case display unit to be used to provide virtual bonfire and to display names of sponsors. These to be provided to NM in good time to allow making up of the screen display.        

Card Readers

AC will obtain Gala card readers and SB will obtain those from Village Hall. 

JB will obtain card reader from football. SB can set up mobile phones to act as card readers.       

Banking

ST to get cash bags. ST

Risk Assessments

Fireworks risk assessment received from Galaxy. 

SB to update generalised risk assessment 

Insurance

Checked via Parish Clerk and is adequate for our needs. Galaxy providing their own.
